Automation

Document automation needs a review queue

Move from incoming files to usable records without hiding uncertainty.

Define the expected information

List the fields your process needs and where they will be used. A document intake workflow might need a reference number, date and request category. Establish validation rules for each field. If different document types need different information, identify the type before forcing everything into a single structure.

Keep the original accessible

Reviewers should be able to compare extracted values against the source document. Show which fields are missing or ambiguous instead of displaying an incomplete record as finished. A correction should preserve enough context for someone to understand what changed. This is particularly useful when documents arrive in inconsistent formats.

Separate extraction from approval

Reading a value does not establish that it is correct or authorized. Treat extraction, validation and approval as distinct steps. A completed review can trigger the next action. Avoid designing a workflow where an uncertain interpretation immediately changes an important record with no opportunity for correction.

Plan for repeated submissions

A file may be uploaded twice, replaced by a revised version or retried after a failure. Agree on how the workflow identifies those situations. Give the team a clear way to reopen a record when needed. Judge the system by completed, accurate handoffs rather than the volume of files it can ingest.

Example: process a service request form

A team receives completed request documents with different layouts. The workflow identifies the document type, extracts a reference number and requested service, and places uncertain fields in a review state. A staff member compares them with the original and confirms the record. Only then does the request enter the normal work queue. This separates reading a document from approving its contents and makes the reviewer’s responsibility visible.

Design a side-by-side review screen

Place the source document near the extracted values and highlight the field currently being checked. Let reviewers correct a value without losing their place. Distinguish a missing field from an unreadable one because the next action may differ. Preserve meaningful changes in the record history. For a longer document, provide a reference to the relevant page rather than expecting reviewers to search the entire file for every value.

Handle versions without confusion

A customer may send a corrected form after the first version was reviewed. Decide whether that creates a new request or updates the existing one, and show which version is active. Retain enough history to understand previous decisions. A replacement should not silently overwrite a value that has already triggered downstream work. Identify which changes require another approval before the process continues.

Set a realistic definition of completion

A file is not complete merely because extraction ran successfully. Completion might require validated fields, an assigned owner and confirmation that the destination received the record. Track those states separately. Review how often people correct extracted values and why. The results can guide improvements to the intake form, source document template or review interface, rather than assuming a different AI model is the answer to every operational problem.
